Onboarding Plan - Phase 3: Apps and Communication
This phase focuses on managing apps to enhance the core functionality of the system and setting up templates and integrations for merging documents and sending emails and SMS messages.
Apps
Apps in eBECAS/EDMISS are installable add-ons designed to enhance the system's functionality by providing users with additional features and capabilities. These apps serve as integrated tools or extensions that expand the core functionalities of the system.
Some apps are classified as Managed Apps, meaning they can only be installed by Equator IT. Additionally, note that some apps are paid features and may not be included in all subscription plans.
Communication
If you are not planning to create any documents or send email and SMS from the system yet, you can skip this section.
Effective communication is vital for managing relationships with students, agents, and other entities that are managed in the system. eBECAS/EDMISS streamlines this process by offering robust tools for merging documents, sending emails, and SMS. These features ensure efficient, consistent, and timely interactions with different stakeholders. Additionally, the system keeps comprehensive records of all communications, enhancing transparency, compliance, and accessibility.
Templates
Templates are modular blueprints designed to create consistent layouts for emails, SMS messages, and documents. They enable you to quickly send messages or generate documents by incorporating data from your records.
There are various types of templates, with options differing based on their intended use and location within the system.
As users become familiar with the template engine, it is advisable to start with simple templates. A good starting point is creating a template for an agent contract or a straightforward welcome letter/email/SMS for students.
Generate/Merge Documents
The Documents Merge is a feature designed to streamline the creation of documents, ensuring they are accurate and consistent. Whether you are creating static letters, or dynamic documents such as Letters of Offer, invoices, contracts, or any other type of documents, this feature will enhance your productivity and efficiency.
Before starting with documents merge, ensure Document Templates have been created.

Send Emails
Emails are sent from the system through a third-party email provider allowing colleges to select, configure, manage their preferred provider.
While sending emails from eBECAS/EDMISS incurs no additional cost, there may be charges from the chosen email provider.
The integration and configuration of the email providers are done via Apps (we learned about Apps on this article). Each of the providers supported have a corresponding App that must be installed and configured.
Currently, the email providers/methods supported are:
Before starting sending emails, make sure that:
The provider selected is configured and there are enough credits/balance to send emails using their services (if required).
The respective APP for the selected provider is installed and configured.
Email Templates have been created.

Send SMS
SMS are sent from the system through a third-party SMS provider. This setup allows colleges to select, configure, and manage their preferred provider.
