Agent Contract Reminders
Agent contract reminders automatically send an email to the contract owner (internal staff), when an agent contract is nearing its end date.
How Agent Contract Reminder Works
When the Agent Contract Reminders setting is enabled, the system runs a daily automated check for active contracts that are approaching their end date, based on the lead time defined in the reminder settings. An email notification is then sent to the contract owner (internal staff) to advise that the contract is about to expire. No emails are sent to the agent or their employees, as this is for internal communication only.
Notifications can also be disabled at the individual contract level. This can be useful, for example, when the contract renewal process has already started and reminders are no longer necessary for a single contract.
Reminders are sent for contracts that match the following conditions:
The contract status is Activated
The Send Reminder option/field on the contract has not been disabled
The Days to Expiry value for the contract matches exactly the number set in the Agent Contract Reminder settings
When these conditions are met, the contract is included in that day’s reminder and an email is sent to the contract owner.
Considerations for Agent Contract Reminder
The reminder process runs once per day. Contracts created or updated after the process has run will not trigger a reminder until the following day.
A separate email is sent for each contract that meets the reminder conditions. If multiple contracts match the reminder conditions, one email per contract will be sent.
The reminder uses the same filtering logic as the Agent Contract Search. You can preview which contracts will be included in the next reminder by applying the same filters in the Agent Contract Search.
Enable Agent Contract Reminders
To enable Agent Contract Reminders:
Turn on and configure the Agent Contract Reminder settings.
Ensure the Send Reminder option is selected on each contract.
Disable Agent Contract Reminders
You can disable Agent Contract Reminders in two ways:
System-wide: Turn off the Agent Contract Reminder settings. This will stop reminders for all contracts.
Contract level: Edit the contract and clear the Send Reminder option to stop reminders for that contract only.
