Agent Contracts

Overview

Agent contracts help colleges keep agreements with their agents clear and organised. Each contract records its duration, status, commission rules, and supporting documents, and can be customised with additional fields. Using contracts also makes it easier to maintain a clear history of commission terms over time.

With everything stored in one place, colleges can manage relationships more effectively and track when contracts need renewing.

Considerations for Working with Agent Contracts

  • Agent contracts are optional, though strongly recommended. Commission rates can still be set and used in offers without a contract.

  • Contracts can be linked to offers before they are accepted. When this is done, the commission rates applied to the offer will come from the selected contract.

  • Contracts cannot be added directly to an enrolment. However, if a contract is linked to an offer, any enrolments created from accepting that offer will automatically be linked to the contract.

  • A contract is considered Active when:

    • The status is set to Activated

    • The current date is within the contract’s start and end dates

  • Documents can be attached to agent contracts. Once added, they will appear in both the Contract Documents tab and the Agent Documents tab.

View Agent Contract Details

Permissions Required

  • Agents > Contracts > View Agent Contracts

  1. Open the profile page of the agent.

  2. Select the Contracts tab.

  3. Click on the contract you wish to view to see its full details.

Create Agent Contracts

Permissions Required
  • Agents > View Agents

  • Agents > Contracts > View Agent Contracts

  • Agents > Contracts > Create Agent Contracts

  1. Open the agent’s profile page.

  2. Go to the Contracts tab.

  3. Click the New icon above the Contracts grid. A new form will appear.

  4. Enter the contract details.

  5. Click Save.

Edit Agent Contracts

Permissions Required
  • Agents > View Agents

  • Agents > Contracts > View Agent Contracts

  • Agents > Contracts > Update Agent Contracts

There are two ways to update an agent contract.

Option 1: From the Contract Details page

  1. Open the contract you want to edit.

  2. In the header, click Edit Contract.

  3. Make the required changes.

  4. Click Save to apply the updates.

Option 2: From the Agent Contracts list

  1. Open the agent’s profile and go to the Contracts tab.

  2. Tick the checkbox for the contract you want to edit.

  3. In the action panel, click Edit.

  4. Make the necessary changes.

  5. Click Save to apply the updates.

Delete Agent Contracts

Permissions Required
  • Agents > View Agents

  • Agents > Contracts > View Agent Contracts

  • Agents > Contracts > Delete Agent Contracts

Contracts linked to an offer cannot be deleted.

  1. Open the contract you wish to delete.

  2. In the header, click the More Options icon and select Delete Contract.

  3. Confirm the deletion when prompted.

Managing Commissions for an Agent Contract

Permissions Required
  • Agents > View Agents

  • Agents > Contracts > View Agent Contracts

  • Agents > Contracts > Commissions >View Agent Contracts Commissions

  • Check with your system administrator about the permission required for more actions

Creating commissions under an Agent Contract is the best way to keep commission terms organised, consistent, and linked to the correct agreement.

Commission rates created within a contract are exclusive to that contract. Once a commission is set up under a contract, it cannot be reassigned to another contract.

To manage the commissions under a contract:

  1. Open the contract you want to manage.

  2. Go to the Commissions tab.

  3. From the grid, you can create, edit, or delete commissions linked to the contract.
