Accommodation management in eBECAS/EDMISS supports the process of organising accommodation services for students, from recording accommodation requirements through to placing students with Accommodation Providers and managing related payments.
An Accommodation Request represents a student's accommodation requirement for a specified period and Location. Once a suitable Accommodation Provider is selected, the request can be placed with that Provider and, if the Provider has Beds configured, a specific Bed.
Bed availability is managed by accommodation period to help prevent overlapping bookings and support temporary reservations before a request is placed.
The Accommodation functionality also supports provider and payment management. Some of these management functions are currently available through the Desktop app (Classic).
How Accommodation Works
Accommodation management generally follows a simple process:

An Accommodation Request records the student's accommodation requirement, including the required period and Location.

A suitable Accommodation Provider is selected and, where the Provider has Beds configured, a Bed can be assigned.

The request is placed, recording where the student will stay for the accommodation period.

Accommodation payment information can then be managed for the services provided.
Accommodation Requests can be created directly for a student or generated through accommodation items added to an Offer or Invoice.
Key Accommodation Functions

Accommodation Requests: Record and track a student's accommodation requirements, including the required accommodation period, Location and status.

Placements: Assign Accommodation Requests to Providers and, where applicable, Beds while considering availability for the required period.

Accommodation Providers and Beds: Manage the Providers used to deliver accommodation services and the Beds available within those Providers. Currently, use the Desktop app (Classic) to manage Accommodation Providers and Beds.

Payment Management: Manage accommodation payment information, including Payment Dues used when preparing payments to Accommodation Providers. Currently, use the Desktop app (Classic) for accommodation payment management.
Before You Start
Before using Accommodation in eBECAS/EDMISS Next Generation, the following requirements must be met:

The Equator Accommodation and Transfer Services App must be installed.

You have the appropriate permissions to access the relevant sections for Accommodation.
