After the Faculty and Course setup is completed, administrators can create an Offer using the relevant Course.
When the Offer is accepted, the Enrolment is created with the applicable Units of Study structure configured for the Course. Administrators can then review and manage the student’s Units, Subject Slots, and assigned subjects.
Review Units of Study in the Offer
When a Course under a Units of Study Faculty is added to an Offer, the Course’s Units of Study structure is applied to the Offer. Administrators can review the applied Units from the Units of Study tab in the Offer.
If subjects need to be assigned to specific Units, use the Subjects tab and the Units of Study tab in the Offer to assign subjects to the relevant Units where required. Assigning subjects to a Unit can be used to set the default subjects for that Unit when the Enrolment is created.
From the Subjects tab, administrators can also use Lock UOS to restrict a subject so it can only be selected in its assigned Unit through the Student Portal.
Administrators can still assign or clear subjects later from the relevant enrolment results area where required.
Review the Enrolment Units of Study Tab
After the Offer is accepted, the Enrolment is created with the Units of Study structure. Administrators can review and manage the student’s Units of Study from the Enrolment Units of Study tab.
From this tab, administrators can:

Review the Units applied to the student’s enrolment

Review Unit start and end dates

Review Subject Slots
-
Review assigned subjects

Add or remove Units where required
This tab is used to manage the student-specific Units and subject setup before or during the Student Self Allocation process.
Understand Subject Slots
Subject Slots are used when students need to select subjects through the Student Portal. A Subject Slot represents a place where a subject can be selected or assigned for a Unit.
The number of subjects a student can select is controlled by the Minimum Subject Slots and Maximum Subject Slots configured in the Faculty settings.
For example, if the minimum is set to 2 and the maximum is set to 4, the student must select at least 2 subjects and no more than 4 subjects for the relevant Unit.
Subject Slots are only required when students need to select subjects. If the subjects are already assigned to the student’s Unit and students are not required to change subject selections, the student only needs to select classes for those subjects.
Review Assigned Subjects
Subjects can be assigned to a student’s Unit when they are assigned in the Course or Offer setup, or when an administrator assigns them manually.
Assigned subjects determine which subjects are already assigned to the student’s Unit.
If subject allocation is not enabled, or the subject allocation window is closed, students cannot change the assigned subjects through the Student Portal. In this case, they select classes for the subjects already assigned to their Units.
If subject allocation is enabled and the allocation window is open, students can select or change subjects through the Student Portal, based on the applicable selection rules.
If Lock UOS is enabled for a subject, the subject is only available for selection in its assigned Unit.
Assign or Clear Subjects Manually
Administrators can assign or clear subjects from the Enrolment Units of Study tab where required. This is useful when a student’s subject selection needs to be adjusted manually, or when the college needs to assign a subject on behalf of the student.
Administrator changes are not limited in the same way as Student Portal subject selection. For example, students can only select subjects that meet the applicable Student Portal selection rules, but administrators can manually assign or clear subjects where required.
How This Affects Student Portal Selection
The Units, Subject Slots, and assigned subjects in the Enrolment Units of Study tab affect what the student can select through the Student Portal.
Depending on the setup:

If subjects are already assigned to the student’s Unit, the student does not need to select subjects before selecting classes.

If subject allocation is enabled and the allocation window is open, the student can select or change subjects through the Student Portal, based on the applicable selection rules.

If Lock UOS is enabled for a subject, the subject is only available for selection in its assigned Unit.

Once subjects are selected or assigned, the student can select classes for those subjects during the class allocation window.
The Student Portal only displays subjects and classes that are available to the student based on the configured rules and availability.

After the enrolment, Units, Subject Slots, and assigned subjects have been reviewed, the student can complete the available selection tasks through the Student Portal.
