New Feature: Offer Prepayments

NEW VERSION 12.5.1.0

Prepayments let you define which instalments must be paid before an Offer can be accepted. Think of it as a deposit the student must pay to continue the application.
Instalments can be set or unset as prepayment anytime, as long as the Offer is not yet accepted.

You can mark any tuition or non-tuition instalments as Prepayment – whether single or multiple.

  • Instalments marked as prepayment in 1.63 Offer Instalment Listing display a ‘Prepayment’ flag in the instalments grid.

  • New Prepayment Summary fields have been added to the 1.61 Offer Details under the Prepayment section.

  • These fields are also available in 1.6 Offer and Application Search Grid and as template bookmarks.

    • New bookmarks beginning with the prefix O_PP_, representing each field of the Offer Prepayment.

    • A new Offer Prepayment Table type of the Template Flexible Tables for Offers, allowing you to create a custom grid table and merge it into your documents.

Active/InActive for Payment Types

NEW VERSION 12.5.1.0

An option to set Payment Types as Active/Inactive has been added in Setup Configuration > Finance > Payment Types. Inactive Payment Types will no longer be displayed in:

  • Create Receipt Wizard of 1.3 Enrolment Details > Fees tab

  • Payment Type filter of 9.51 Bank Reconciliation

Note that, they will continue to appear in existing entries where they have already been used, such as Receipts Details.

Study Group Enrolment Enhancements

NEW VERSION 12.5.0.1

Enhancements have been applied to Study Tours.

  • At the Offer stage of a Study Tour, additional options have been added for Insurance and Accommodation type items:

    • Set where entries to be added: Choose between Group Only or Per Student.

      • For Insurance: when applied to Students, an Insurance entry is added to each student details, helping you track requirements more clearly.

      • For Accommodation: when offered at the Study Group stage, entries also appear as Tentative placements in each student’s details.

    • Student Multiplier: Enter a number to multiply the Insurance or Accommodation amounts by the student count.

  • You can now apply the below Enrolment Variations to individual students in Study Tour Enrolments through 6.3 Group Enrolment > Students tab, including:

    • Shorten Student Enrolment

    • Cancel Student Enrolment

    • Reinstate Student Enrolment

  • Invoices can now also be added to Study Tour Enrolments through the following actions:

    • Adding Students to Study Tour Enrolments

    • Extending Study Tour Enrolments

  • An additional option has been introduced in Generate Invoice to use a multiplier based on the number of students.

  • A new View Cancellations option has been added to display cancelled study tour enrolments in the data grid of 6.1 Study Tour Details > Enrolments tab.

New Agent Contracts Fields

Read-only fields from the new feature: Agent Contracts in eBECAS/EDMISS NextGen are available in eBECAS/EDMISS Classic at the following locations:

  • 1.6 Offer and Application Search Grid

  • 1.61 Offer and Application Details

  • 1.4 Enrolment Search Grid

  • 1.3 Enrolment Details

  • 2.1 Agent Details > Commissions Grid

Extra Fields Added in Search Grids

NEW VERSION 12.5.1.0

The following fields have been added to Search Grids and can now be included via the Column Chooser:

  • Student Job Placement custom fields in 1.8 VET&HE Result Search grid

  • Gross Course Fee and Agent Commission Fee fields in 1.4 Enrolment Search grid

  • Student Email fields in Insurance Search grid.
