This guide provides the steps to set up and configure the Zapier connection in both eBECAS/EDMISS and Zapier.
Step 1: Install the Zapier App
The Zapier App must be installed in eBECAS/EDMISS before you can connect to Zapier.
If the app is not already installed, install it from the Apps list. See this article for detailed installation instructions.
If you cannot see the Zapier App in your available Apps, contact your system administrator to confirm whether it can be enabled for your institution. Please note that the Zapier App is only available on selected subscription plans.
Step 2: Create an Integration User, Role and Token
For improved security and monitoring, create a dedicated API user for the Zapier integration. Assign this user an API role with only the permissions required, and generate an API token.
All requests made through Zapier will use this user's permissions, and any actions or resources created through the integration will be attributed to this user.
Make sure you save the API token, as you will need it in the next step.

Follow the principle of least privilege. Only assign the API user the permissions required for the Zapier integration.
You can further control which data the API user can access by configuring Field Access Levels.
Step 3: Create your Zapier Account
If you do not already have a Zapier account, create one before continuing with the setup.
If you already have a Zapier account, proceed to the next step.
Step 4: Request Zapier Access
Once you have a Zapier account, contact our Support Team to request access to the Equator IT Zapier integration.
You will then receive two emails:

An email from Equator IT with the details required to authenticate your eBECAS/EDMISS connection in Zapier.

An email from Zapier containing an invitation link to access the Equator IT integration.
Once you accept the Zapier invitation, you can start building your Zaps.
Step 5: Set up the Zapier Connection
After accepting the invitation to use the Equator IT integration, you can set up your eBECAS/EDMISS connection in Zapier.
The Equator IT app will only appear in Zapier after you have accepted the invitation.

Log in to your Zapier account.

Go to App Connections and select Create Connection.

Search for and select Equator IT.

Enter the following details to authorise the connection:

College Identifier: The unique identifier for your college, provided by our Support Team.

Region: The region where your eBECAS/EDMISS service is hosted, provided by our Support Team.

Environment: The environment you want to connect to.

API Token: The API token you created earlier for the dedicated API user.

Once the details are entered, complete the authorisation to establish the connection.
Make sure the Status of the connection is Connected before using it.
