June 2025 is here—and it’s packed with powerful new tools. 🚀
You can now automate invoice reminders via email and SMS, so staying on top of unpaid invoices is no longer a manual task. Plus, the brand-new Invoices Overview gives you a clear, real-time snapshot of your receivables at a glance.
We’ve also introduced job placement tools, smarter template options, and teacher portal enhancements that give your team more flexibility and visibility than ever.
From finance to academics, this update is all about saving time, cutting friction, and giving you more control.

Finance Updates
🔥Introducing Automated Invoice Reminders
NEW EXCLUSIVE TO NEXTGEN
Chasing unpaid invoices just got a whole lot easier. With the new Automated Invoice Reminders, you can schedule friendly nudges to be sent via email and SMS, before or after the due date—no manual follow-up needed.

Key highlights:
Flexible scheduling – Send reminders before, on, or after the due date. You decide how many days before or after the due date each message is sent.
Custom channels – Choose email, SMS, or both
Attach documents – Include invoices or related files automatically
Full visibility – Every message is logged in the Student Diary
Smart targeting – Filter by invoice details like minimum amount and choose the correct recipient: student or invoice payer.
Track delivery – View message status, delivery time, and failure reasons
Sender control – Send from a user account or a shared college address
🔒 Availability: During the initial rollout, this feature is disabled by default. Please contact our support team to enable it for your college.
📦 Plan limits: Basic Plan includes 1 reminder, while Plus Plan supports up to 3 reminders per invoice.

📊 New: Invoices Overview
NEW EXCLUSIVE TO NEXTGEN
Stay on top of your cash flow with the new Invoices Overview page. This feature gives you a visual snapshot of your organisation’s invoicing activity—paid, upcoming, and overdue amounts.
Highlights:
Summary Cards for total due, paid, upcoming, and overdue invoices.
Charts to track trends, identify high-risk periods, and monitor ageing debt.
Instantly see where collections may be falling behind with the Unpaid Ratio by Month.
Job Placement Updates
These updates are available once the Equator Employment Services App is installed.
Job Placement Search
NEW EMPLOYMENT APP REQUIRED
You can now search and manage job placements directly from the Employment > Job Placements menu. Plus, easily merge documents and send messages—via email or SMS—to students or employers, individually or in bulk. You're fully in control of the process.
SMS/Email messages and merged documents are logged and stored in the diary and document store of the student that the job placement entry belongs to.

Enhanced Notes has been added to Job Placement entries, which allows the use of rich content such as tables, links, and images.

NEW EMPLOYMENT APP REQUIRED
A new Student Employments tab has been added to the Student details. From this tab you can manage the job placements for each student.
Offer & Enrolment Updates
Employer in Details Layouts
NEW EMPLOYMENT APP REQUIRED
A new Employer field has been added to the default layout of both Offer and Enrolment details pages. This is a lookup field, allowing you to search and select an employer to associate with the student’s offer or enrolment. Once selected, the employer can also be used as the Payer in Offer Instalments, Enrolment Invoices, and Receipts.
Template Updates
Reusable Section/Grid Templates Across Channels
NEW EXCLUSIVE TO NEXTGEN
You can now embed Section/Grid templates across multiple channels—perfect for reusing common content in emails, documents, and even SMS. For example, a section originally created for emails can now be inserted straight into your document templates too. Simple, consistent, and time-saving.
Currency Symbol Argument and Conditions for Formula Template Helpers
NEW EXCLUSIVE TO NEXTGEN
Formula template helpers now support additional arguments that let you customise how and when formula results appear. You can specify which currency symbol to display, where the symbol appears (before or after the number), and apply conditional logic using a comparison field and value.
This is especially useful when working with more complex formulas that require dynamic control or conditional output. For example, display the total amount of Offer Course Items only if the course type is ‘Weekly’.
App Updates
New Equator Employment Services App
NEW EXCLUSIVE TO NEXTGEN
A new Equator Employment Services App has been added. This app provides all the functionality to manage employers and jobs placements in eBECAS/EDMISS Next Generation.
Student Portal Updates
Reset Forgotten Password (Teacher Portal)
NEW
Teacher Portal users can now reset their passwords directly from the login screen. By entering their username and registered email address, a temporary password will be sent automatically.
Publish Option for Class Document Upload on Teacher Portal
NEW
When uploading class documents through the Teacher Portal, Admin users can now choose whether or not to publish class documents. Teacher Only users’ class documents are always set to published.
